Job Description – Executive Director
Organization Background
Pro Musica began presenting concerts in 1981 and was incorporated as a 501(c)(3) corporation in 1986. Its mission is to “Foster interest in, appreciation for and enjoyment of world-class, live classical music in Joplin and the four-state area”. To carry out this mission, Pro Musica presents a program that provides listeners with a wide variety of ensembles, instrument combinations, and both historic and new music. Programs that combine music in this way broaden the listener’s understanding of and appreciation for classical music as well as the culture it represents. These concerts and their related Arts Education Events are designed to complement, not compete with, other area music organizations.
Position Summary
The Director serves as the face of Pro Musica and leads the organization in activities that fulfill the mission. The Director manages all business operations and reports to the Board of Directors or Board President as needed to insure transparency and responsible fiscal management. This is a salaried exempt position requiring an estimated 20-30 hours per week with additional hours as needed during a concert week.
Duties & Responsibilities
- Planning & Executing the Season
- Select potential ensembles per the guidelines established by the Artistic Committee
- Schedule ensembles and negotiate fees keeping within the Board approved budget range
- Work with Venue Partners to select appropriate concert venues based on the requirements of each ensemble
- Develop marketing materials for the season and each concert; insure distribution per the season Marketing Plan
- Plan/schedule artist lodging, meals, and transportation to insure high quality hospitality for guest artists within budget
- Plan and facilitate Arts Education Events; maintain cooperative relationship with representatives from schools, institutions, etc.; distribute information about public performances at AE Events as appropriate
- Plan and facilitate all concert-night activities including ordering programs, scheduling ushers, scheduling venue rehearsal time, green room hospitality, setting up welcome desk & signage, meeting & greeting concert attendees, overseeing donation baskets, and giving pre-curtain talk
- Communicate schedule of all events to designated individuals including Board of Directors
- Advertising & Marketing
- Work with Marketing Committee to develop Marketing Plan for the season
- Maintain/update Pro Musica website
- Post information on Pro Musica Facebook page per Marketing Plan
- Utilize Constant Contact to publicize concerts via email
- Work with local vendors to create Season Brochures and distribute by mail
- Create reminder postcards and posters for each concert; distribute by mail and hand deliver as appropriate
- Post information for each concert on websites and/or online calendars (magazines, newspapers, TV & radio stations)
- Provide information to local newspaper(s) for publicity (free or purchased)
- Development & Fundraising
- Work with Development Committee to enlarge individual donor base, sustain and grow corporate sponsors, and identify new fundraising opportunities & activities
- Assist the Hospitality Committee with bi-annual House Concert as needed
- Submit grant applications in a timely manner using previous history as a guideline; track outcome, complete follow-up activities per grant requirements
- Seek out new grant opportunities and follow-through with application process; update records to include new grant applications
- Mail annual invoice to current Business Guarantors; follow-up as needed with second invoice, thank you/acknowledgement letters when payment is received, etc.
- Create annual solicitation letter and insure timely mailing
- Track receipt of all donations, send thank-you letters within two business days of receipt
- Administrative Duties
- Schedule bi-monthly Board Meeting; communicate date/location to Board Members
- Act as scribe for Board Meeting; send draft of minutes to Board Members; edit as needed
- Send packet to Board Members prior to meeting (agenda, draft of minutes, financial reports, director’s report, etc.)
- Track and record all donations; deposit into appropriate account; keep record of deposits
- Pay all invoices in a timely manner as approved by a member of the Finance Committee; keep record of all payments providing detail to Finance Committee as appropriate
- Maintain office equipment and supplies to allow timely completion of all work
- Miscellaneous
- Educate the community about Pro Musica and its mission at every opportunity
- Maintain positive relationships with other community arts organizations, business organizations, and the Joplin Chamber of Commerce
- Attend the Chamber Music America Conference in NYC annually or as determined by the Board; network with agents, musicians, other presenting organizations
- Ability to interact with and oversee the work of volunteers
- May be required to supervise the work of a part-time temporary employee or student intern
- Other duties as assigned
Qualifications
- A general understanding of and passion for classical music
- Excellent organizational and time-management skills; ability to manage multiple projects, work under pressure, meet deadlines
- Well-developed communication skills (verbal and written)
- Excellent judgement and creative problem solving skills including negotiations and conflict resolution skills
- Experience in marketing and fundraising desired but not required
- Personal qualities of integrity, credibility, and commitment to Pro Musica’s mission
- Willingness to travel
- Bachelor’s degree in business or a related field; experience in leadership within an arts organization may be considered as equivalent
- Proficient in the Microsoft Office Suite (Word, Excel, Outlook, Publisher, etc.)
